1. Information We Collect
Account information — We collect information you provide when creating or managing an account, including your name, email address, mobile number, time zone, account preferences, and login information.
Household and student information — You may provide information about children and household members, including first names or nicknames, schools, grades, teachers, teams, activities, and the relationship between students and caregivers. FamilyCues is designed to be managed by adults. Children under 13 may not create FamilyCues accounts or receive direct FamilyCues text messages.
Gmail and email information — When you connect Gmail, FamilyCues receives permission through Google to access email information necessary to provide the service. FamilyCues' normal processing workflow retrieves and analyzes messages matching the Email Sources you approve. Depending on the message, FamilyCues may process sender and recipient information, subject lines, email bodies, dates and message identifiers, supported attachments, and information contained in PDFs, images, documents, and calendar files. FamilyCues uses this information to identify events, deadlines, required actions, schedule changes, supplies, packed lunches, forms, payments, transportation information, and other reminders.
Phone and messaging information — We collect mobile numbers, SMS-consent records, verification status, message-delivery information, opt-out status, and replies such as DONE, SNOOZE, MUTE, HELP, STOP, and START.
Billing information — Payments are processed by Stripe. FamilyCues does not store complete payment-card numbers. We receive billing status, subscription information, payment confirmation, and limited transaction details from Stripe.
Technical information — We may collect device, browser, IP address, session, diagnostic, security, and usage information needed to operate, secure, and improve FamilyCues.
2. How We Use Information
FamilyCues uses information to create and manage accounts; connect approved Gmail accounts; process approved email sources and attachments; identify which child or household member an item concerns; create and schedule reminders; send authorized text messages; process replies and preference changes; provide customer support; manage trials, subscriptions, and billing; detect fraud, misuse, security incidents, and technical errors; improve the reliability and usability of FamilyCues; and comply with applicable legal obligations.
3. Google User Data
Read-only access — FamilyCues requests read-only Gmail access. The permissions FamilyCues asks for are openid, which identifies the Google account you connected, and gmail.readonly, which allows FamilyCues to read messages. FamilyCues requests no permission to send, modify, or delete mail, and asks for no other Google data of any kind.
What FamilyCues looks at — FamilyCues does not scan your mailbox. It runs searches limited to what you have approved: the exact senders and organization domains you add as Email Sources, the words and phrases in your active Smart Topics, and messages you have labeled FamilyCues in Gmail. Searches are limited to the last 30 days and to a capped number of messages per check. Mail that matches none of those searches is never retrieved.
What FamilyCues reads it for — For messages those searches return, FamilyCues reads the sender, subject, message body, and supported attachments for one purpose: identifying dates, deadlines, required items, forms, payments, supplies, schedule changes, closures, and other reminders for your household.
What FamilyCues never does to your mail — FamilyCues does not send, reply to, forward, modify, delete, archive, label, or mark any Gmail message as read. It has no permission to do any of those things. Your mailbox is left exactly as it was.
FamilyCues accesses Google user data only to provide and support the features the user requests. Google user data is not used for advertising, is not sold, and is not shared for anyone else's marketing purposes.
FamilyCues' use and transfer to any other application of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
FamilyCues does not use Gmail messages or attachments to train artificial-intelligence models, and does not provide them to any provider for that purpose.
Disconnecting versus deleting — These are two separate choices, and they do different things. Disconnect Gmail revokes FamilyCues' access with Google and deletes the stored access and refresh tokens, so no further messages are retrieved; messages already imported and the reminders built from them remain stored in your account. Disconnect and delete imported data does all of that and also permanently deletes everything FamilyCues derived from that inbox: imported messages and their stored bodies, attachments and attachment excerpts, the reminders created from them, Needs Review items, processing and deduplication records, and the message-log entries for those reminders. Your students, Email Sources, Smart Topics, recipients, and reminder preferences are kept, because you entered those yourself. Both choices are in Connected Accounts, and you can also delete your entire FamilyCues account at any time.
4. SMS Consent and Communications
How consent is collected — FamilyCues never adds a mobile number on its own, and no one can consent on someone else's behalf. The account holder signs in, opens Family, opens Reminder recipients, and checks the optional SMS-consent box beside their own name and number; it is unchecked by default and must be selected manually. Any other recipient is added by name and number only, and receives a private consent link where they see the same disclosure and check the box themselves. FamilyCues records the date and time of consent, the exact disclosure wording shown, the version of that wording, and whether the person opted in from their own account or their own consent link.
What FamilyCues sends — Recurring automated service text messages, including school and activity reminders, deadlines, schedule changes, school closures and early dismissals, items needing review, account and service notices, phone-verification messages, and replies to commands such as DONE, SNOOZE, MUTE, HELP, STOP, and START. FamilyCues does not send promotional or marketing text messages through this program.
Message frequency and cost — Message frequency varies based on school activity, Email Sources, household size, reminder settings, and user interactions, and may include multiple messages per day. Message and data rates may apply according to the recipient's mobile plan.
Opting out and getting help — Reply STOP to any FamilyCues message to opt out of FamilyCues text messages. Reply HELP for assistance. A recipient's consent may also be withdrawn at any time in the FamilyCues dashboard under Family → Reminder recipients.
Consent is optional — SMS consent is optional and is not a condition of purchasing or using the FamilyCues web dashboard. Declining consent, or withdrawing it later, does not prevent anyone from creating an account, paying for a subscription, or using every feature of the FamilyCues web dashboard. It only stops text messages.
Verification before any message — FamilyCues does not send reminder texts to a number until the recipient has consented and that number has completed verification. A number that has consented but has not been verified receives no reminder texts.
Mobile information is never sold or shared for marketing — Mobile information, including phone numbers and SMS opt-in consent records, is not sold, rented, or shared with third parties or affiliates for their own marketing or promotional purposes. Information may be shared with service providers only as necessary to operate FamilyCues and deliver the messages you have requested.
5. Cookies and Tracking Technologies
Essential cookies only — FamilyCues uses cookies for one purpose: keeping you signed in. When you sign in, FamilyCues' authentication provider (Supabase Auth) sets session cookies in your browser. They identify your signed-in session, refresh it as you move between pages, and make sure you only ever see your own household's data. These are strictly necessary for the service to function.
No cookies before you sign in — FamilyCues' public pages — the homepage, Pricing, How it works, Privacy Policy, Terms of Service, SMS Terms, SMS Consent, Contact, and Delete My Data — set no cookies at all for visitors who are not signed in.
No analytics or advertising tracking — FamilyCues does not use advertising, marketing, retargeting, social-media, or cross-site tracking cookies or pixels, and loads no third-party analytics or advertising scripts on its pages. FamilyCues does not sell or share browsing information for advertising. Fonts, images, and scripts are served from FamilyCues' own domain; no third-party content is embedded in FamilyCues' pages. FamilyCues does not use browser local storage or session storage to track visitors.
Service providers with their own cookies — Some tasks hand you off to a provider's own website, where that provider sets its own cookies under its own privacy policy. Payments: starting checkout takes you to Stripe's hosted checkout page, where Stripe uses cookies for payment processing and fraud prevention; FamilyCues does not load Stripe scripts on its own pages. Gmail: connecting Gmail takes you to Google's sign-in and consent screens, where Google sets its own cookies. FamilyCues also relies on Supabase for authentication and data storage and Netlify for hosting, which process requests as needed to run the service and secure it.
Your control — You can block or delete cookies at any time in your browser settings, and browsers let you clear cookies for a specific site. FamilyCues does not override those settings.
What stops working without essential cookies — If you block or delete FamilyCues' session cookies, you will not be able to sign in or stay signed in. Account creation and log-in, onboarding, the dashboard, Family settings, Reminder recipients, connecting Gmail, and Billing will not work, and you may be signed out unexpectedly. The public pages listed above continue to work normally without cookies.
6. Artificial-Intelligence Processing
FamilyCues may use artificial-intelligence service providers to analyze approved email bodies and attachments and identify relevant information. FamilyCues limits the information submitted to those providers to information reasonably necessary to perform the requested processing.
Translation — When a reminder recipient has chosen a language other than English, FamilyCues sends the finished reminder sentence to Anthropic to be translated. Raw Gmail messages are not sent to Anthropic. The reminder sentence is derived from an email, however, and can contain wording taken from that email, such as its subject or a short extract of its body. Dates, times, numbers, links, phone numbers, email addresses, reference codes, and children's names are replaced with placeholders before the request and restored afterwards, so those details are not sent. No phone number, recipient name, or Gmail message identifier is included. If a recipient's language is English, no translation request is made at all.
AI-generated results may contain mistakes. FamilyCues provides source information and correction tools so users can review important dates, requirements, and assignments. Users remain responsible for confirming critical information with the original school, teacher, coach, organization, or sender.
7. How We Share Information
FamilyCues may share information with service providers that help operate the service, including providers of cloud hosting and databases, authentication, Gmail connectivity, artificial-intelligence processing, SMS delivery, payment processing, error monitoring, customer support, and security and fraud prevention. These providers may process information only to perform services for FamilyCues or as otherwise permitted by their agreements and applicable law.
Where reminder text goes — Two providers receive text derived from your reminders, and only for the purpose named. Anthropic receives the finished reminder sentence when a recipient has requested a language other than English, as described in section 6. HighLevel receives the reminder text together with the recipient's mobile number in order to deliver it as an SMS. Because a reminder is built from an approved email, that text can contain information extracted from a Gmail message. Neither provider receives raw Gmail messages, attachments, or your mailbox contents.
FamilyCues may also disclose information when reasonably necessary to comply with law, protect users, investigate misuse, enforce agreements, or protect the rights and safety of FamilyCues and others.

FamilyCues does not sell personal information. Text-message originator opt-in data and consent are not shared with third parties for their own marketing purposes.
8. Data Retention
FamilyCues retains information only for as long as reasonably necessary to provide the service, maintain security, resolve disputes, and comply with legal obligations.
What is kept from a processed email — For each message FamilyCues imports, it stores the sender name and address, the subject, an extract of the message body, the date received, message identifiers used to avoid importing the same message twice, and, for supported attachments, the file name and a short extract of readable text. Attachment files themselves are not stored. This information is kept while your account is active so that FamilyCues can show you why a reminder was created and let you check it against the original message. It is deleted when you choose Disconnect and delete imported data, when you reset your FamilyCues data, or when you delete your account — whichever comes first.
Other information — Structured reminders and household settings are retained while the account is active; account information may be retained for up to 90 days after account closure to permit recovery and complete deletion requests; and security, consent, billing, and transaction records may be retained longer when reasonably necessary for legal, fraud-prevention, accounting, or compliance purposes.
Deleting information from FamilyCues does not delete the original message from Gmail.
9. Security
FamilyCues uses administrative, technical, and organizational measures designed to protect information. No system can guarantee absolute security, and users should protect their account credentials and promptly report suspected unauthorized access.
10. Children's Privacy
FamilyCues is a parent- and caregiver-directed service. FamilyCues does not permit children under 13 to create accounts or receive direct FamilyCues texts.
Adults may provide limited information about children when managing family reminders. FamilyCues uses that information only to provide the requested family-organization service.
Optional teen recipients must be at least 13 years old, be authorized by a parent or guardian, and verify their own mobile number before receiving texts.
11. Your Choices
You may review and change Email Sources; correct extracted information; change reminder preferences; mute or resume reminder categories; disconnect Gmail; opt out of text messages by replying STOP; re-enable eligible texts by replying START; request an export of account information; and request account and FamilyCues-data deletion.
12. Data Deletion
You may request deletion through Account Settings, the Delete My Data page, or by emailing privacy@bellcuekids.com.
FamilyCues will delete or de-identify applicable information within a reasonable period, subject to records that must be retained for security, billing, fraud prevention, dispute resolution, or legal compliance.
13. Changes to This Policy
FamilyCues may update this Privacy Policy as the service changes. Material changes will be communicated through the website, account dashboard, email, or another reasonable method.
